Common questions

Quick answers to the questions people ask most about tese.io Ops.

Short answers to everyday tese.io Ops questions, with links to the full guides.

Where to find it

tese.io Ops opens from the tese.io apps launcher on the dashboard (tese.io Ops), or from Ops mode in the tese.io Lite app. Most answers below depend on your Operations access level: Technician (read), Manager (write) or Administrator (delete). See Getting started and access.

How to get unstuck

  1. Check which page or button is missing.

  2. Compare it with the access levels: Planned jobs needs Manager; Approvals and Settings need Administrator.

  3. Check the work order's status. Buttons change with it.

  4. If it's still unclear, ask your organisation's administrator or contact support from the app.

Good to know

  • Work orders move: Awaiting approval → Approved → Ongoing ⇄ Paused → Closed. Declined is the other way out of Awaiting approval.

  • Closed and declined work orders are final and can't be edited.

  • Service-level clocks start when an order is created and don't stop for approval or pauses.

Common questions

Why was my work order marked overdue? A service-level target was missed: the order wasn't started by Respond by, or wasn't closed by Resolve by. See Service levels.

Why can't I approve a work order? Approving and declining need the Administrator (delete) level. Managers can create and assign work but can't approve it unless their role also has that level.

Why can't I start, pause or finish a work order? Technicians can only act on orders they're assigned to or working on. The order must also be in the right status: Start work needs Approved, Pause and Finish need Ongoing.

I'm assigned, but Finish says I'm not an active participant. Finish is for people who have started or resumed the order. If a colleague started it, they or an administrator can finish or close it.

The work order closed by itself. When the last person still working on an order finishes their part, the order closes automatically.

How do I report an issue if I don't use tese.io Ops? Scan the QR tag on the space or equipment, fill in the short form and select Send report. Keep the Track status link. See QR requests and approvals.

Why didn't my planned job create a work order? It only creates one when the next run is within its lead time, and only while the job is Active. See Planned jobs.

Why didn't an alert open a work order? No alert policy set to Work order matched it, the alert had no facility, or it was a repeat of an alert that was already open. See Alerts.

Why isn't a work order on the calendar? It has no scheduled date or due date.

I didn't get a notification for my own change. That's expected. You're never notified about your own actions. See Ops notifications.

Can tese.io Ops track spare parts or stock? Not at the moment. tese.io Ops covers spaces, assets, work orders, planned jobs and alerts.

Can I export work orders? Yes. Use CSV on the Work orders page for the list, or PDF on a work order's page. See Reports and exports.

Can I use tese.io Ops on my phone? Yes. Switch tese.io Lite to Ops mode. See Ops on the tese.io Lite app.
